Notwithstanding the commercial imperative to make a profit and a satisfactory return on capital invested, the company will adhere to an ethical policy as described in the following articles. Should 10% or more * tenants fail to comply with the obligations placed on them by the Terms and Conditions of their Rental Agreements the Ethical Policy will be suspended. The Ethical Policy will be reinstated when 95% of tenants fulfil the conditions of their lease. 1. To operate in such a way that the tenure of our residents is not put at risk by commercial failure. 2. We will endeavour not to sell a property whilst a tenancy is running. 3. Where more than 50% of properties are let to University undergraduates, postgraduates or research/academic staff, a proportion of our profits, not being less than 2% of the adjusted figure, will be donated to University Hardship Fund(s). 4. Where more than 75% of properties are let to University undergraduates, postgraduates or research/academic staff, provision will be made from our profits to sponsor an undergraduate prize for academic achievement of not less than £500 per annum. 5. Where more than 50% of properties are let to University undergraduates, postgraduates or research/academic staff, one company officer will be a member/former member of the University body. They will have a veto on any company decisions that may affect the tenure of our customers and they will have sufficient knowledge of the operation of the business and the business continuity plan to ensure succession. In order to maintain gender balance the ratio of male/female company officers should be as close as possible to unity. 6. Discrimination. The company will not discriminate against any group or individual. When there are a large number of applicants we will ensure that there are systems in place to guarantee that, (i) tenants are selected objectively on the basis that they fulfil the requirements of the company in respect of occupancy and our ability to obtain references, and (ii) check that rents are set as close as possible to the current market rent for the type of accommodation on offer. 7. Any surplus property, which has proven difficult to let in the past, may be made available at less than market level rent to a disadvantaged family/group. 8. Company confidentiality. The company will ensure that information regarding tenants' personal details, and the location and number of let/managed properties is only communicated with those who need to know. 9. In order to facilitate communication between tenants and the company, the company officers will appoint a Tenants' Representative, who should be a current or former tenant. The Tenants' Representative will attend the bi-monthly meetings of the company officers and be able to monitor most aspects of the business.
